There are various ways to add new metrics. You can add a new metric by clicking on ‘Add New’. In the pop up you can either copy the definition from an existing metric, which saves a bit of time, or you can manually complete the required fields.
The manual procedure works like this: Firstly, give your metric a name. When naming a metric do not use any commas, semicolons or squared brackets as this will affect the metric downloads. Before adding metrics, decide on prefixes to make the metric name unique. This makes it easier when analyzing data, for instance, MAR for marketing, FIN for Finance etc.
Next, choose an Org. Unit. The main purpose of organisational units is to enhance the ability of filtering reports. Org. Units can have multiple levels like company, division or department. Org. Units are only created in the ‘Admin’ function but can be assigned by all users with edit rights.
Now add a description and select the scope. ‘Not Shareable’ means it cannot be copied or linked to any other matrix element. ‘Shareable’ means it can be copied or linked to any existing matrix element or initiative in the system. Select a type or measurement unit. Choose between ‘Cumulative’ (for example: revenue) or ‘Non-cumulative’ (for example: exchange rate). Select the frequency (monthly, quarterly, semesterly or yearly)
Now you can choose whether the metric will be a calculated metric. You can learn more about calculated metrics in a separate tutorial.
Set the number of decimals. Name the source for the metric – basically where do the data for the metric come from. Select the contributor - as in who will update metric data. And select the responsible - the person who will ensure the targets for the metric are met. You can also add one or more co-responsibles.
Now select which tags you want to link to this metric: tags are labels which can be assigned to matrix elements, initiatives, metrics and tasks. They are used for filtering purposes. Tags are only created in the ‘Admin’ function. See the separate tutorial on tag management
Select the forecast type: you can define these forecast types in the metric ‘Admin’ and then for each individual metric. See the separate tutorial on forecast types. Select whether the metric is confidential - so only users that have confidentiality criteria enabled can view this metric data.
Select the automatic status: automatic status updates of metrics determine the RAG status of the METRIC - red, amber or green. This is based on the comparison of year-to-date actual metric values with year-to-date target metric values. Remember the year-to-date calculation is influenced by the metric-characteristic cumulative or non-cumulative. See the separate tutorial on automatic status updates. Click on ‘Save’ to continue. Once your metric appears on the dashboard, you can click the action icon on the right. Now select ‘Add Values’, where you can add the target and actual values.
By clicking on the metric name you can visualize the graph. Here you can see the actual, target and previous year values. Also see the responsible person and the current status wheel. From here you can export the graph to PDF. The tabs on the top have different functionalities. The info tab allows you to see a summary of the metric characteristics. You can also find the ID-number of the metric. The ‘Linked Elements’ tab allows you to see to which metric the element is linked.
